These instructions apply to Apple Mail running on Mac OS X 10.9 and 10.10. See Configure Apple Mail for Office 365 if your version is OS X 10.11 or later.

You can configure the Mail app to connect to your email and calendar events on the Office 365 server.

Important Note: If you are not running at least Mac OS 10.10 (Yosemite) and you do not first upgrade to Mac OS 10.10 (Yosemite), Office 2011 for Mac may be listed as available, but it should not be installed. Office 2011 for Mac does not support modern authentication, so you will be unable to.

I have a new Mac with OS X Yosemite, which came with a 1 year Office 365 personal subscription. This is the family computer and I have set up 3 user accounts. I installed Office 365 through my account, as the Admin, but the applications do not appear in my partner's or son's user accounts on the same computer. YCCD employees are provided with an email account, powered by Microsoft. To gain access, employees may use their email address (typically last name and first name initial, followed by @yosemite.edu) and their Network Logon password. Employees may access the email link through www.mjc.edu and/or www.gocolumbia.edu websites. Set up Exchange account access using Outlook for Mac. If you have Outlook for Mac, you can use it to access your Exchange account. See Add an email account to Outlook for instructions. Set up Exchange account access using Mac OS X 10.10 or later. If you're running Mac OS X version 10.10 or later, follow these steps to set up an Exchange email. Office for Mac users subscribed to the Insider Fast channel may receive an update to a new build series known as ’16.xx’. If you want to revert back to 15.xx builds, use these instructions.

IMPORTANT: After configuring Apple Mail, be sure to change the Trash setting to never permanently erase messages. Otherwise, you won't be able to restore deleted messages.

1. Launch Mail. (Click the icon in the dock or go to the Applications folder to open it.)
2. Add a mail account:
   • If you have not previously configured an account in Mail you will be prompted to add an account. Click Exchange and then click Continue.
   • Otherwise, go to the Mail menu and click Add Account > Exchange and then click Continue.
3. Enter the following information and then click Continue when done:
   • Full Name: the name you want displayed on your outgoing mail
   • Email Address: sunetid@stanford.edu (do not use an email alias)
   • Password: stanford (do not enter your SUNet ID password here)
     
4. A message displays staying that you couldn't log on to the Exchange server. Click Continue.
   
5. In the Account Settings window, enter the following information and then click Continue.
   • Description: enter a name for this account if you wish
   • User Name: your SUNet ID@stanford.edu
   • Password: your SUNet ID password
   • Server Address: outlook.office365.com
   
   
6. The Account Summary displays. Click Continue.
   
7. Select the apps you want to use with this account and then click Done.
   

Recommended setting

Office 365 accounts are not backed up. However, Outlook on the web and some desktop versions of Outlook let you recover deleted items that are no longer visible in the Deleted Items folder.

In Apple Mail you can set how long to keep messages in the Trash folder. Once a message is permanently erased in Apple Mail it cannot be recovered from the Deleted Items folder in Outlook on the web. We recommend setting Apple Mail to never permanently erase deleted messages.

1. In the Mail menu, click Preferences.
2. In the Accounts pane, click the Mailbox Behaviors tab.
3. In the Trash section, choose the following settings:
   • Store deleted messages on server: checked
   • Permanently erase deleted messages: Never
